How do I add an Invoice into my system that was paid for by someone else?
Overview
Occasionally, you may have an Supplier invoice that was paid by an employee, another person outside the organisation, or another entity (e.g. a related company). This article describes the recommended process to handle and pay such an invoice.
NOTE: It is assumed that the invoice is for goods or services that relate to the business, just that they have already been paid by someone else.
Process
- Enter the invoice as normal, just as if the invoice had not already been paid.
- Create a Payment for the invoice (Action > Create Payment for this Supplier Invoice).
- Special step: Instead of drawing money from your bank account, change the Drawing account to be a loan account, suspense account, clearing account, or some other general ledger account that can store the value that was paid. This account value will then reflect the money that your business owes the person who paid the invoice.
At this point, the invoice has been entered and flagged as paid.
Next, determine how you will pay back the person or entity who paid for the invoice. This may be a manual payment, reducing the balance of the above suspense or clearing account, or it may just sit on a loan account for an indefinite period of time.
